VETscout is operated by Off Leash Behavior LLC ("we," "us," or "our"), a California limited liability company. VETscout provides veterinary clinic intelligence software, including medical records retrieval, scheduling, route optimization, and clinic communication services. Waves Mobile ACVIM is Dr. Karen Eiler's mobile veterinary ultrasound practice, which uses VETscout for scheduling and operations.

2. Information We Collect

We collect the following categories of information:

• Business contact information: Clinic names, staff names, email addresses, and phone numbers provided by veterinary clinic contacts for scheduling purposes.
• Appointment information: Patient names (animals), species, appointment dates, case types, and scheduling preferences.
• Communication data: SMS messages and emails exchanged for appointment scheduling, confirmations, arrival notifications, and medical record requests.
• Location data: Clinic addresses for route optimization. Mobile provider location data is collected only during active appointment days for real-time ETA calculations.
• Medical records: Veterinary medical records submitted by clinics for the purpose of pre-appointment preparation.

3. How We Use Your Information

We use collected information solely for:

• Scheduling and confirming veterinary appointments
• Sending appointment reminders, arrival time notifications, and preparation instructions
• Requesting and processing medical records for pre-appointment review
• Optimizing driving routes for mobile veterinary visits
• Communicating schedule changes, cancellations, and updates

4. SMS/Text Messaging

When you text our business number to schedule an appointment, you consent to receive appointment-related text messages from Waves Mobile ACVIM via VETscout. These messages include appointment confirmations, arrival time estimates, medical record requests, and schedule updates.

We do not share your mobile phone number, messaging consent, or opt-in data with any third parties or affiliates for marketing or promotional purposes. Your mobile information will not be sold, rented, or distributed to third parties.

Message frequency varies based on scheduling activity. Message and data rates may apply. You can opt out at any time by replying STOP to any message. Reply HELP for support information.

5. Information Sharing

We do not sell, rent, or trade your personal information. We share information only as follows:

• With the veterinary provider: Appointment and scheduling information is shared with Dr. Karen Eiler (Waves Mobile ACVIM) to fulfill the veterinary service.
• Service providers: We use Twilio for SMS delivery, Resend for email, Supabase for data storage, and Google Maps for route optimization. These providers process data on our behalf under contractual obligations.
• Legal requirements: We may disclose information if required by law or to protect the safety of animals or people.

6. Data Security

We implement industry-standard security measures including encrypted data transmission (TLS), access controls, and secure cloud infrastructure. Veterinary medical records are stored with row-level security ensuring clinic data isolation.

7. Data Retention

We retain appointment and contact data for as long as the scheduling relationship is active. Medical records are retained per veterinary regulatory requirements. You may request deletion of your contact information by emailing us.

8. Your Rights

You may request access to, correction of, or deletion of your personal information by contacting us at the address below. California residents have additional rights under the CCPA.
